Shift Scheduling & Attendance

Plan the shift, then see who actually worked it

Shift plans, rotations and an attendance report built on the time your team already records.

Create shift templates, assign them to people or teams and lay out the week on a calendar. Worktivity then compares each planned shift with the recorded clock-in and clock-out, so the attendance report shows who was on time, late, left early or absent. Shift scheduling is included in the Growth and Pro plans and is open during the free trial. It is off by default: an owner turns it on under Workspace settings > Tracking > Modules.

How it works

What shift scheduling covers

Shift templates

A template holds a start and end time, an unpaid break, tolerances for late arrival and early leave and an overtime threshold. A shift that ends before it starts runs into the next day, like 22:00 to 06:00.

A weekly schedule calendar

One row per person and one column per day. Move between weeks, narrow the list by team and see the plan at a glance.

Assign people or teams

Give a shift to one person or a whole team for a date range. Several people or teams can be assigned in one go, up to 100 targets at a time.

Rotation patterns

Describe a cycle once, such as two early days, two late days and two days off, and assign it like a template. The cycle can be 1 to 56 days long and a preview shows the coming weeks before you save.

Single-day exceptions

Change one person's shift for one day without touching the rest of the plan. The exception wins over the assignment for that day only.

My schedule and the attendance report

Employees see their own days and coming weeks. Owners, co-owners and managers get a day-by-day attendance report with on time, late, left early, absent and on leave.

In practice

What changes when the plan and the clock sit together

The schedule stops being a separate file and becomes the yardstick for recorded time.

  • One plan, one source of truth

The schedule lives next to the recorded hours, so nobody keeps a spreadsheet of shifts and a separate record of who showed up.

  • Rotating teams without retyping

A repeating pattern replaces rewriting the same rota every few weeks.

  • Lateness you can count

Late and early-leave minutes are measured against the shift's own tolerances, so a few minutes inside the tolerance does not read as late.

  • Planned against worked hours

The timesheet shows the planned shift beside what was actually recorded.

Limits

What it does not do

Worktivity compares the plan with recorded time. It is not a pay engine.

  • Pay rules stay in payroll

Overtime rates and pay rules stay with your payroll process. The template's overtime threshold describes the shift, it does not calculate pay.

  • Attendance needs a plan

Attendance is only recorded for people who have a shift assigned for that day. With no shifts assigned, the report is empty.

  • Planning is for managers

Owners, co-owners and managers plan the week, and managers plan for their own teams. Employees see their own schedule but do not edit it.

Who uses it

Teams that get the most out of it

Shift planning matters most where coverage depends on who is on at what time.

  • BPO and contact centres

Early, late and weekend teams on rotating patterns, with lateness counted against each shift.

  • Support and operations desks

Round-the-clock coverage planned by team, including shifts that run past midnight.

  • Healthcare and care services

Rotating rotas assigned to whole teams, with approved leave from leave management (Pro plan) shown on the attendance report.

  • Retail and hospitality

Weekly rotas per site or team, with a single-day exception when the manager changes someone's shift for that day.

  • Security and facility services

Night and day shifts planned ahead and compared with when people actually clocked in.

  • Manufacturing and logistics

Shift teams on repeating cycles, checked day by day against recorded time.

Plan the next shift and see how it was worked

Turn on Shift scheduling under Workspace settings > Tracking > Modules, create a shift template, assign it to a team and open the attendance report after the first shift.
