How it works

From sign-up to insight in ten clear steps

Time tracking, activity insight and task management that your team can be up and running with today.

Worktivity is deliberately simple to start. You create an account, invite the people you work with, decide what gets tracked, and install a lightweight desktop agent. Everything after that happens on its own: hours, activity and app usage flow into reports you can act on.

Phase 1: Setup

Get set up in four steps

Everything in this phase is a one-off. Most teams finish it in a single sitting.

  1. Sign up

Create your organization with an email address. There is nothing to install on a server and no sales call to sit through before you can look around.

    Create your account
  2. Invite your team

Add people by email or bulk import them. Everyone gets their own login, and you decide who is a manager, who is a member and who sees which reports.

    Invite your team
  3. Customize settings

Choose what Worktivity records: screenshot frequency, idle thresholds, working hours, which apps count as productive. Transparency settings are yours to set, not ours.

    Open tracking settings
  4. Install the agent

Your team installs the desktop agent on Windows or macOS. It signs in once, runs quietly in the background and starts sending activity to your workspace.

Step 4

Install the desktop agent

The agent is the piece that does the measuring. It records active time, app and website usage, plus screenshots and timelapse videos if you enable them. Employees can see exactly what it captures.

  • Signs in once with the same account as the web app
  • Runs in the background with minimal CPU and memory use
  • Works offline and syncs when the connection comes back
  • Visible in the system tray so nobody is tracked without knowing

Phase 2: Every day

Then Worktivity does the work

Once the agent is running, nobody has to remember to start a timer or fill in a sheet at the end of the week.

  1. Start tracking

Hours, breaks and idle time are captured automatically as people work. Manual entries are still possible for offline work, meetings and client visits.

  2. Monitor performance

Live dashboards show who is working on what right now, which apps are in use and how the day is shaping up against expected hours.

  3. Analyze reports

Daily, weekly and monthly reports break time down by person, project, client and activity, ready to export or send to accounting and invoicing.

What you actually see

Three screens you will live in

The same tracked data, presented three different ways depending on the question you are asking.

Live time tracking

See who has clocked in, what they are working on and how long each task has taken. Start and stop times, breaks and idle periods are all on one timeline.

Productivity analysis

Applications and websites are grouped into productive, neutral and distracting. You set the categories once, then compare people, teams and periods against them.

Timesheets and reports

Approved hours roll up into timesheets you can export for accounting or turn into client invoices, with the underlying activity available if anyone asks.

Phase 3: Over time

Improve, month after month

The value is not in watching a live screen. It is in what the last three months tell you about how work actually gets done.

  1. Collaborate and optimize

Share reports with managers and the team. Discuss where hours are going, rebalance workloads and cut the meetings and tools nobody is getting value from.

  2. Improve performance

Set targets from real baselines instead of guesses, and watch whether a change to process, staffing or tooling actually moved the number.

  3. Achieve success

Accurate hours mean accurate invoices, honest capacity planning and fewer arguments about who did what. That is the whole point.

Before you start

The questions everyone asks first

How long does setup take?

Creating the workspace and inviting a team takes a few minutes. Installing the agent takes about a minute per computer, and it can be pushed out centrally with the MSI installer on Windows.

Do employees know they are being tracked?

Yes. The agent is visible in the system tray, employees can see their own activity in the web app, and what gets captured is decided by settings you control and can publish to your team.

Does the agent work without an internet connection?

It keeps recording locally and uploads the data once the machine is back online, so travel and dropped connections do not create gaps.

Can I use Worktivity without screenshots?

Yes. Screenshots and timelapse videos are optional features you can switch off entirely and still get time tracking, app usage and reporting.

Ready to see your team's real working day?

Set up your workspace, install the agent and look at your first full week of data before you decide anything.
