Task tracking with the hours behind every task

Projects, tasks and statuses, with the time and cost that went into each one.

Worktivity keeps projects and tasks next to the time tracked against them. People pick a task before they start working, so every minute lands on a task, and the reports show hours, cost and billable amount per task and per project.

How it works

How task tracking works

What teams usually ask when they set it up.

How is time attached to a task?

People pick a project and a task in the desktop app, the Chrome extension or the mobile app before they start. Changing the task mid-shift moves only the minutes from that point on.

Can we keep using Asana or Trello?

Yes. A project can import tasks from Asana or Trello and sync them again on request. Nothing is written back. ClickUp connects but does not import tasks yet.

Who can see a project?

Everyone, unless you restrict it. Visible to teams narrows a project to certain teams, and Visible to people narrows it further.

What does a task hold?

A title, description, project, priority, due date, assignees and a status: Todo, In progress, Under review, On hold, Postponed, Completed or Cancelled.

Where do the numbers show up?

Task insights lists every task with working hours, cost, billable amount and profit, grouped by project. Opening a project row shows time spent against its budget.

Benefits

What your team gets out of it

  • Hours per task, not per guess

Time is recorded while people work on the task, so nobody reconstructs the week on a Friday afternoon.

  • Budgets checked while the work runs

Budget, cost so far and billable amount sit on the project row while there is still time to act on them.

  • Billable work kept apart

Projects linked to a customer count as billable, internal projects do not, and a task marked non-billable stays at zero.

In practice

How teams run projects with it

Task tracking is a module. Once it is on, the desktop app asks for a task before the shift starts.

  • Import, then track

Pull the backlog in from Asana or Trello and let people track time against the same tasks they already plan in.

  • Review by project each week

Work times and Task insights filtered by project show where the week went.

  • Close with an invoice

With cost management on, the billable amounts feed a customer invoice under Cost management, Invoices.

Limits

What it does not do

Task tracking in Worktivity is about time and cost. A few things it leaves to your planning tool.

  • No estimates or story points

Tasks have no estimate field, so planned and actual effort are compared outside Worktivity.

  • No board or timeline view

Tasks live in a filtered list. Boards and timelines stay in the tool you already plan with.

  • No write-back to other tools

Imports from Asana and Trello are read-only. Status changes in Worktivity do not travel back.

Who uses it

Teams that get the most out of it

Teams that bill by the project or need to know what a project cost.

  • Software and IT services

Hours per sprint task, with client and internal work kept apart.

  • Agencies

Client projects with budgets, and billable amounts per task.

  • Consulting

Engagement hours per client, ready for an invoice.

  • Engineering and architecture

Design hours per project phase, set up as tasks.

  • Legal and accounting firms

Time per matter or client file, recorded as it happens.

  • Internal IT and product teams

How much capacity goes to projects and how much to support.
