What do the retention add-ons do, and how do I buy one?

Two optional add-ons keep your data longer than your plan does, without changing plans. They are billed with your subscription, and cancelling gives you two months before anything is removed.

Every paid plan keeps activity data for 12 months, and screenshots and timelapse videos for 2 to 6 months depending on the plan. If you need to look further back than that, you do not have to move up a plan. Two add-ons extend either window on its own.

The two add-ons

  • Extended data retention, $1.99 per user per month. Activity data, timesheets and payroll records are kept for 6 years instead of 12 months.
  • Extended screenshot retention, $2.99 per user per month. Screenshots and timelapse videos are kept for 12 months, on any plan.

They are independent. You can take one, both, or neither, and the one you take applies to your whole organization rather than to selected people.

An add-on only ever makes a window longer. If your plan already keeps something longer than the add-on would, the longer window is the one that applies.

Where to buy one

  1. Open the workspace menu at the top of the sidebar and go to Subscription.
  2. Scroll to Add-ons. Each card shows the price for your current number of seats.
  3. Press Add. You will see the exact amount that will be charged today before you confirm.

Like the plan screen, this is open to the organization owner. A co-owner manages everything else but not billing.

How they are billed

  • On the same card and the same renewal date as your subscription, as an extra line rather than a separate payment.
  • Priced per user, so an add-on costs the same number of seats your plan does. Adding seats later charges the add-on for those seats as well, in the same transaction.
  • Starting one part way through a period is prorated: you pay for the days that are left, not a full month.
  • On annual billing, add-ons follow the same rule as plans and give you two months free.

Add-on charges appear in your invoice history next to the subscription ones.

If you cancel

Cancelling an add-on stops the billing at the end of the period you have already paid for. The longer retention window then stays in force for two more months, and we email you a reminder before it ends.

Those two months exist for one reason: once the window drops back to your plan, the first nightly run removes everything older than the plan window, and nothing is archived on the way out.
