How do I add hours I forgot to track?
Manual time entries cover meetings, travel and the morning the app was not running. They wait for an approval before counting.
- Web
A manual time entry covers work the desktop app could not see: a meeting away from the desk, a client visit, the morning the app was not running. It is a request. Until somebody approves it, it changes nothing.
Add one
- Go to Tracking, then Manual time entries.
- Press Add entry.
- Set the start day and time and the end day and time.
- Pick the work status. Working counts towards worked hours, On break counts as break.
- Pick a productivity. Break time is always recorded as neutral, so the choice disappears when the status is a break.
- If task tracking is on for your organization, a project can be chosen, and a project needs a task.
- Write the reason. It is required and can hold at most 500 characters.
- Press Add time entry.
The rules the form applies
- The end has to come after the start.
- One entry covers at most ten hours. Two working days need two entries, not one long one.
- Employees enter time for themselves only. Managers can enter it for the people in their own team. Owners and co-owners for anybody.
After it is sent
The entry is Pending. Owners and co-owners are notified by email and in the browser, where that notification is switched on for them. Somebody with a manager role or above then approves or rejects it, and approving manual time entries describes what approval does to the day.
A rejected entry stays in the list and carries the reason it was rejected, on the same screen.
If your organization has automatic approval on, an entry is approved the moment it is created and no review takes place.
There is no edit
An entry cannot be changed after it is created. Delete it and add it again. While an entry is pending its owner can delete it. Once it is approved deleting is a manager's action, because it also removes the minutes the approval wrote to the timesheet.
If the screen is not in your sidebar
Manual time entries is optional. Owners and co-owners always have it; everybody else sees it only while the organization permits manual entries. The same switch decides whether the desktop app asks about a long absence, which is the other way an entry gets created. Idle minutes covers that question.
