How do I invite my team members?
Send invitations from the employee list, choose the team and role each person joins with, and see what an invited person receives.

Invitations go out one at a time from the employee list. An invited person takes a seat on your plan the moment you send it, not the moment they accept.
Send an invitation
- Open the workspace menu at the top of the sidebar and choose Employees. Add employee in the same menu opens the form straight away.
- Press Invite employee.
- Fill in the first name, the last name and the email address.
- Pick a Team and a Role. Both are required.
- Employee code is optional. It is your own identifier for this person, useful when two people share a name or when records are matched against payroll software.
- Press Send invitation.
Which role to pick
- Co-owner: the same access as the owner. The subscription stays with the owner alone.
- Manager: sees only the people in their own team.
- Employee: sees only their own activity.
Owner is not in the list. There is one owner, the person who created the organization.
What the invited person receives
An email titled You have an invitation with a link to the sign-up page. The page names your organization and the team, and their first name, last name and email are already filled in; they choose a password and the account exists.
If that address already belongs to a Worktivity account, there is no invitation to accept. The person is added to your organization right away and gets a different email saying so. What happens after an invitation is written for them.
The link stops working after seven days
An expired invitation says so in the employee row. Resend invitation in the row menu gives it another seven days, but it does not send a second email. Use Copy invitation link and send the link yourself.
Seats
A seat is an active employee who is not blocked, and a pending invitation is already one of them. When every seat is taken the form refuses and says how many the plan covers. Blocking somebody who has left frees their seat and keeps their history; deleting them removes their activity, screenshots and timelapse videos for good.
Changing somebody's team or role signs them out of Worktivity. They sign back in and carry on, and nothing is lost, but it is worth saying before you do it in the middle of their day.
Nothing is recorded until they install a desktop app on the computer they work on. Which desktop app to install covers the choice.
