How do I connect Asana to my workspace?

Connect Asana once from Workspace settings, link its projects to Worktivity projects and match people so Asana tasks arrive in Worktivity.

Go to Workspace settings, open Integrations, choose Asana and select Connect. Approve the access on Asana's own screen, then link the Asana projects you want to Worktivity projects. The tasks of each linked project appear in its Worktivity project.

What you need

You need the Owner or Co-owner role. Your plan must include integrations (Trial, Growth or Pro). On Starter the Asana card shows an upgrade prompt instead of the Connect button, and anyone who is not an owner sees a note to ask the workspace owner.

How do I connect the account?

  1. Open Workspace settings, then Integrations.
  2. On the Asana card, select Connect.
  3. Sign in to Asana if asked and approve the access.
  4. You return to Worktivity and the connection appears under Your connections.

If your Asana login gives access to more than one Asana workspace, Worktivity shows a "Choose accounts" step. Pick the workspaces Worktivity should use and select Connect selected. The ones you leave out are removed, and you can add them later by selecting Connect again. Asana organizations are listed as workspaces too.

How do I link an Asana project to a Worktivity project?

Open the connection with Manage. In the Projects section, select Connect project next to an Asana project. You have two choices:

  • Create a new project. The name is suggested from the Asana project name and can be up to 100 characters. You can also pick a customer, which is optional.
  • Use an existing project. Pick a project from your workspace.

A Worktivity project can be linked to one Asana project at most. Archived Asana projects are not listed. Remove link detaches a project again; tasks already synced stay in Worktivity.

How are Asana people matched to Worktivity employees?

When Asana shares a person's email address, Worktivity matches people by email automatically. People it cannot match with exactly one employee appear in the People section with the label "Needs review", and a count shows on the connection. For each one you can use Map to choose the employee, Change to pick another, or Unmap to remove the match. An unmapped person stays unmapped even if the emails match later. Refresh reloads the list of people from Asana.

What comes over from Asana, and what does not?

  • Asana tasks arrive in the linked project with their title, description, whether they are completed, their due date, and who they are assigned to. Worktivity updates them regularly. Tasks that were already completed arrive as Completed.
  • Subtasks do not arrive, only tasks added directly to the project. Priority is not imported, because Asana has no built-in priority field.
  • A task deleted or archived in Asana stays in Worktivity. Worktivity never deletes tasks.
  • If the assignee in Asana is not mapped to an employee, the task arrives without an assignee.
  • Importing tasks only reads: your Asana tasks are never changed. The one thing Worktivity can send back is tracked time, and only if you turn on Write time back.

What happens when a task changes in Asana, or in Worktivity?

When a task is completed or reopened in Asana, or its due date changes, Worktivity follows on the next sync. A reopened task returns to Todo. A change you make in Worktivity stays until Asana changes that same field again. A task already Completed in Worktivity stays Completed until it is completed or reopened in Asana again. Nothing you change in Worktivity is written back to Asana, apart from tracked time if you turned on Write time back.

Can Worktivity write tracked time back to Asana?

Yes, if you turn on Write time back on the connection. It is off by default and only time tracked after you turn it on is sent. When it is on, Worktivity adds a time tracking entry on the Asana task. It only adds entries: it never changes or deletes your Asana tasks, and if you correct time in Worktivity later, the entry in Asana stays as it was. Asana's time tracking depends on your Asana plan, so check your plan if entries do not appear.

Unlike ClickUp, the entries do not appear under each person who tracked the time. Asana only lets the connected account create them, so every entry shows up under the account that connected Worktivity. If you want a dedicated name there, connect Asana with a dedicated account. See "How do I send tracked time back to ClickUp, Asana, Trello, monday.com and Notion?" for what is written, when, and what is not.

How do I check the status or fix a problem?

The connection shows a status: Active, Having problems, Reconnect needed, Permissions missing or Paused. Paused means your plan no longer includes integrations. Reconnect needed and Permissions missing are solved with Reconnect, then approving all requested access. The page also shows the last successful sync and the next planned one.

The Activity section lists the last 20 sync runs. Select a run to see the requests it made to Asana and whether each succeeded. To start a sync yourself, select Sync now. It works once every 15 minutes per connection, and the screen tells you when you can sync again.

How do I disconnect Asana?

Open the connection and select Disconnect. Syncing stops and the access Worktivity holds is deleted. Tasks that were already synced and your people mappings stay in Worktivity. Remove the access from Asana yourself: open the apps you have authorized in your Asana settings and remove Worktivity there. If you connect the same Asana workspace again later, Worktivity creates a new connection.

What happened to the older per-project Asana connections?

The older Asana connections made one project at a time from the Projects screen were closed on 15 October 2026. Tasks that came in through them and the time already tracked on them stay in Worktivity. To connect Asana again, use this way: connect it once under Workspace settings, Integrations, then link each Asana project with Connect project. On the Projects screen, Add integration takes you to the same place.

Frequently asked questions

How many Asana workspaces can I connect? There is no limit. Each one is its own connection.

Is my tracked time written back to Asana? Only if you turn on Write time back for the connection. It is off by default, and Worktivity only adds time entries.

What happens if I delete a task in Asana? It stays in Worktivity.

What does "project" mean here? Asana calls its containers projects. Each Asana project you link feeds one Worktivity project.
