How do I record time against a task?

Press play on a task in the desktop app and every minute recorded from then on carries that task and its project.

2 minutes read
  • Windows
  • macOS
  • Linux

Task time is recorded by the desktop app, not on the web. While a task is selected, every minute record the app sends carries that task and the project it belongs to.

Pick a task

  1. Open the desktop app on the Track tab.
  2. Find the work in the Tasks card. The person icon switches the list between the tasks assigned to you and every task you can see.
  3. Press play on the row.
  4. Press pause on the same row when the work is over. The shift keeps running; only the task comes off the records.

Picking a task while you are clocked out starts the shift as well. The monitoring notice appears first and nothing is recorded until it is accepted.

Three things the card does

  • The task you are tracking is pinned to the top of the list, even when it is not on the page that is loaded.
  • The refresh icon reloads the list. A task somebody created in the browser a minute ago is not there until then.
  • The plus icon opens a short form: a title and a project. The project is required, so the button stays closed until one is picked.

What clears the selection

  • Pressing the same row again.
  • Clocking out. The task and its timer are both cleared, and the next shift starts with nothing selected.

Where the minutes end up

On the web, under Insights, then Task insights. One row per task, grouped by project, with working hours, what those hours cost and what they can be billed for. Break and idle minutes are left out of that report.

Time tracked with no task selected is not lost. It counts as working time on the timesheet and on the work times report exactly as it always did. It carries no task, that is the whole difference.

If task tracking is on and the task report shows nothing, check that somebody actually pressed play. A shift with no task selected produces no rows there.

One combination that does not work

Background mode and task tracking cannot be used together. With the window hidden there is no way to pick a task, so an organization has to choose one of the two. See how a task is created and assigned.
