How do I connect Trello to my workspace?
Open Workspace settings, then Integrations, connect Trello once, and link its boards to Worktivity projects so the cards come in as tasks.
- Web
Go to Workspace settings, open Integrations, choose Trello and select Connect. Approve the access on Trello's own screen, then link the Trello boards you want to Worktivity projects. The cards of each linked board appear as tasks in its project.
What you need
You need the Owner or Co-owner role. Your plan must include integrations (Trial, Growth or Pro). On Starter the Trello card shows an upgrade prompt instead of the Connect button, and anyone who is not an owner sees a note to ask the workspace owner.
How do I connect the account?
- Open Workspace settings, then Integrations.
- On the Trello card, select Connect.
- Sign in to Trello if asked and approve the access. Trello's screen asks for read and write access, and the access does not expire until you remove it.
- You return to Worktivity and the connection appears under Your connections.
A Trello login is one account. Your Trello workspaces are not separate connections: their boards all appear in the same list, with the workspace name next to the board name.
How do I link a Trello board to a project?
Open the connection with Manage. In the Boards section, select Connect board next to a board. You have two choices:
- Create a new project. The name is suggested from the board name and can be up to 100 characters. You can also pick a customer, which is optional.
- Use an existing project. Pick a project from your workspace.
A project can be linked to one board at most, and projects that are already linked are marked "Already connected". Archived boards are not listed. Remove link detaches a board again; tasks already synced stay in Worktivity.
How are Trello people matched to Worktivity employees?
Trello does not share email addresses, so people are never matched automatically. Open the connection, go to People and match each person by hand: use Map to choose the employee, Change to pick another, or Unmap to remove the match. Until a person is matched, the cards assigned to them arrive without an assignee in Worktivity. Refresh reloads the list of people from Trello. The list is built from the members of your open boards, up to the first 50 boards.
What comes over from Trello, and what does not?
- Trello cards arrive in the linked project as tasks with their title, description, whether they are completed, their due date, and who they are assigned to. Worktivity updates them regularly.
- The name of the card's list is added to the end of the task name. A card called "Fix login bug" in the list "Doing" becomes the task "Fix login bug [Doing]".
- A card whose due date is marked complete, an archived card, or a card in an archived list is marked completed in Worktivity. An archived card, or a card in an archived list, that Worktivity never saw before is not imported. Moving a card to a list named "Done" does not complete it.
- Priority is not imported, because Trello has no built-in priority field.
- A card deleted in Trello stays in Worktivity. Worktivity never deletes tasks.
- If the person assigned in Trello is not matched to an employee, the task arrives without an assignee.
- Importing cards only reads: your Trello cards are never changed. The one thing Worktivity can send back is tracked time, and only if you turn on Write time back.
What happens when a card changes in Trello, or its task in Worktivity?
When a card's due date is marked complete, or the card is archived or reopened in Trello, or its due date changes, Worktivity follows on the next sync. A change you make in Worktivity stays until Trello changes that same field again. A task already Completed in Worktivity stays Completed until its card is completed or reopened in Trello again. Nothing you change in Worktivity is written back to Trello, apart from tracked time if you turned on Write time back.
Worktivity syncs boards regularly. To start a sync yourself, open the connection and select Sync now. It works once every 15 minutes per connection, and the screen tells you when you can sync again.
Can Worktivity write tracked time back to Trello?
Yes, if you turn on Write time back on the connection. It is off by default and only time tracked after you turn it on is sent. Trello has no time tracking, so Worktivity adds a comment on the card: one comment per person per card per day, added once your organization's day has ended. A comment reads like "Dana Lee tracked 1h 20m in Worktivity on 14 Oct". Time that reaches Worktivity after the day has closed is not added, and a second comment for the same day is never created.
The comment appears under the account that connected Worktivity, and the person's name is in the comment text. Time of people who are not matched to a Trello member is not sent. Worktivity only adds comments: if you correct time in Worktivity later, the comment in Trello stays as it was. See "How do I send tracked time back to ClickUp, Asana and Trello?" for what is written, when, and what is not.
How do I check the status or fix a problem?
The connection shows a status: Active, Having problems, Reconnect needed, Permissions missing or Paused. Paused means your plan no longer includes integrations. Reconnect needed and Permissions missing are solved with Reconnect, then approving all requested access. The page also shows the last successful sync and the next planned one.
The Activity section lists the last 20 sync runs. Select a run to see the requests it made to Trello and whether each succeeded.
Two messages you may see: "Access to Trello was revoked or has expired. Reconnect to resume syncing." means the access was removed on Trello's side, so select Reconnect. "Trello did not allow writing time for this person or plan. Check the permissions of the connected account." means Trello refused a time comment, so check what the account that connected Worktivity may do on that board.
How do I disconnect Trello?
Open the connection and select Disconnect. Syncing stops and the access Worktivity holds is deleted. Tasks that were already synced and your people mappings stay in Worktivity. Worktivity also asks Trello to revoke the access, but to be sure, check the apps you have authorized in your Trello account settings and remove Worktivity there. If you connect the same Trello account again later, Worktivity creates a new connection.
What happened to the older per-project Trello connections?
The older Trello connections made one project at a time from the Projects screen have been removed. To connect Trello again, use this way: connect it once under Workspace settings, Integrations, then link each board with Connect board. On the Projects screen, Add integration takes you to the same place. Tasks that came in through the older connections and the time already tracked on them stay in Worktivity.
Frequently asked questions

What happens if I delete or archive a card in Trello? A deleted card stays in Worktivity. An archived card is marked completed.
Can two boards feed one project? No. A project can be linked to one board at most.
