How do I create a task and assign it?
A task always belongs to a project, and the Tasks screen only appears once task tracking is switched on for the organization.
- Web
A task always belongs to a project, and a project is what the desktop app offers when somebody starts working. Both are created on the web, under Task tracking.
Before the screens appear
Task tracking is a module and it starts off. Open the workspace menu at the top of the sidebar, choose Workspace settings, open the Tracking tab and switch on Task tracking under Modules. The section then appears in the sidebar for everybody in the organization. Picking a task needs desktop app 2.0.1 or newer.
Create the project
- Go to Task tracking, then Projects, then Add project.
- Give the project a name. Nothing else is required.
- Link a customer if the hours are meant to be billable work for somebody.
- Visible to teams and Visible to people narrow who can see the project. Leave both empty and everyone sees it.
- Budget can stay empty, which means unlimited.
Open the task
- Go to Task tracking, then Tasks, then New task.
- Pick the Project. When the organization has exactly one project it is already selected.
- Write the Task. This is the only other required field.
- Priority, Due date and Assignees are optional. Priority starts at Normal.
- Press Create task.
Nothing is written until that last step, so closing the window leaves no half-finished record behind.
The task then opens in a panel and every change there saves on its own: title, description, project, due date, assignees and status. The statuses are Todo, In progress, Under review, On hold, Postponed, Completed and Cancelled.
Who is allowed to create tasks
- Owners and co-owners, always.
- Managers and employees, while Employees and managers can create and edit tasks is on. It sits under Workspace settings, Tracking, Permissions, and it starts on.
- Deleting a task has its own separate switch in the same place.
Why the list looks shorter than it is
Completed tasks are left out until Completed is chosen in the status filter, and a line under the count says so whenever no status is picked. Filters, sorting and the open task all live in the address bar, so a particular view can be sent to somebody as a link.
People do not have to come here to add work. The desktop app has the same short form on the task list they track against, and a task created there shows up on this screen. See how time is recorded against a task.
