How do I connect ClickUp to my workspace?
Connect ClickUp once from Workspace settings, link its lists to projects and match people so ClickUp tasks arrive in Worktivity.
- Web
Go to Workspace settings, open Integrations, choose ClickUp and select Connect. Approve the access on ClickUp's own screen, then link the ClickUp lists you want to Worktivity projects. The tasks of each linked list appear in its project.
What you need
You need the Owner or Coowner role. Your plan must be Trial, Growth or Pro. On Starter the ClickUp card shows an upgrade prompt instead of the Connect button, and anyone who is not an owner sees a note to ask the workspace owner.
How do I connect the account?
- Open Workspace settings, then Integrations.
- On the ClickUp card, select Connect.
- Sign in to ClickUp if asked and approve the access.
- You return to Worktivity and the connection appears under Your connections.
If your ClickUp login gives access to more than one ClickUp workspace, Worktivity shows a "Choose accounts" step. Pick the workspaces Worktivity should use and select Connect selected. The ones you leave out are removed, and you can add them later by selecting Connect again.
How do I link a ClickUp list to a project?
Open the connection with Manage. In the Lists section, select Connect list next to a list. You have two choices:
- Create a new project. The name is suggested from the list name and can be up to 100 characters. You can also pick a customer, which is optional.
- Use an existing project. Pick a project from your workspace.
A project can be linked to one list at most. A project that is already connected through the older per-project method (Projects, row menu, Integrations) is marked "Already connected" and cannot be picked. If the project is limited to teams, Worktivity warns you that some assigned people may not see it. Remove link detaches a list again; tasks already synced stay in Worktivity.
How are ClickUp people matched to Worktivity employees?
Worktivity matches people by email address, automatically. People it cannot match with exactly one employee appear in the People section with the label "Needs review", and a count shows on the connection. For each one you can use Map to choose the employee, Change to pick another, or Unmap to remove the match. An unmapped person stays unmapped even if the emails match later. Refresh reloads the list of people from ClickUp.
What comes over from ClickUp, and what does not?
- ClickUp tasks arrive in the linked project with their title, description, whether they are closed, and who they are assigned to. Worktivity updates them regularly.
- A task deleted or archived in ClickUp stays in Worktivity. Worktivity never deletes tasks.
- If you moved a task's status forward by hand in Worktivity, a sync does not move it back.
- If the assignee in ClickUp is not mapped to an employee, the task arrives without an assignee.
- Tracked time stays in Worktivity unless you turn on Write time back for this connection. It is off by default. When it is on, Worktivity adds the time people track on linked tasks to ClickUp as time entries, depending on your ClickUp plan and permissions, and only adds: nothing in ClickUp is changed or deleted. See "How do I send tracked time back to ClickUp, Asana and Trello?".
How do I check the status or fix a problem?
The connection shows a status: Active, Having problems, Reconnect needed, Permissions missing or Paused. Paused means your plan no longer includes integrations. Reconnect needed and Permissions missing are solved with Reconnect, then approving all requested access. The page also shows the last successful sync and the next planned one.
The Activity section lists the last 20 sync runs. Select a run to see the requests it made to ClickUp and whether each succeeded. To start a sync yourself, select Sync now. It works once every 15 minutes per connection, and the screen tells you when you can sync again. Each run is labeled Reading or Writing, so you can tell task syncs from runs that sent time to ClickUp.
You get an email when a connection breaks. If the ClickUp connection stops syncing, for example because access was revoked, the permissions are no longer enough, your plan no longer includes integrations, or ClickUp keeps failing, Worktivity emails the workspace Owners and Coowners once. The email names the connection and the reason, and its button opens Workspace settings > Integrations. You do not get a second email for the same problem within 24 hours, and no email is sent when the connection recovers.
How do I see whether time was written? When Write time back is on, the Write time back card on the connection shows the last 30 days: how many entries were written and for how long, how many failed, how many are not confirmed, how many are waiting to be sent, and how many were skipped. Skipped covers both people who are not mapped and time from before Write time back was turned on. Map people opens the people mapping so you can fix the first kind; time from before it was turned on is never sent. Late time (for example when a laptop was offline for a while) can be written up to about an hour later, and once people are mapped, sending usually follows within about an hour. Time that was still waiting to be sent when you turned Write time back off is not sent after you turn it back on either (reason: "Time tracked before write-back was turned on is not sent to ClickUp."). The card also shows when time was last written and the last problem. If it says Paused until, Worktivity has stopped writing for a while, for example because the tool refused to let the account write time, and it tries again after that time; reading tasks is not affected. Not confirmed means the tool did not answer in time, or answered with a server error, so Worktivity cannot know whether the entry arrived and does not send it a second time. Check the task in the tool and add the entry by hand if it is missing.
How do I disconnect ClickUp?
Open the connection and select Disconnect. Syncing stops and the access Worktivity holds is deleted. Tasks that were already synced and your people mappings stay in Worktivity. Worktivity cannot revoke the access on ClickUp's side, so remove it yourself in your ClickUp settings. If you connect the same ClickUp account again later, Worktivity creates a new connection.
How does this relate to the older per-project connection?
The older way, Projects, the project's row menu, then Integrations, still works. The two ways do not mix: a project connected the old way cannot be linked to a list through Integrations, and a project linked through Integrations cannot be connected the old way. You can also start from the Projects screen with Add integration, which takes you to the same Integrations tab.
Frequently asked questions
How many ClickUp workspaces can I connect? There is no limit. Each one is its own connection.
Is my tracked time written back to ClickUp? Only if you turn on Write time back for the connection. It is off by default. Reading tasks from ClickUp never changes anything there; with Write time back on, Worktivity only adds time entries, depending on your ClickUp plan and permissions. See "How do I send tracked time back to ClickUp, Asana and Trello?".
What happens if I delete a task in ClickUp? It stays in Worktivity.
Can I connect Asana or Trello this way? Soon. For now, connect them from the Projects screen.
