How do I send tracked time back to ClickUp, Asana, Trello, monday.com and Notion?

Turn on Write time back on a connection so the time Worktivity tracks on linked tasks is added to ClickUp, Asana, Trello, monday.com or Notion.

Open Workspace settings, then Integrations, open your connection with Manage and turn on Write time back. From that moment on, the time Worktivity records on a task is also entered on the matching ClickUp task, Asana task, Trello card, monday.com item or Notion page. The switch is off by default, and nothing is written until you turn it on.

This works for ClickUp, Asana, Trello, monday.com and Notion, each connected under Workspace settings, Integrations. Trello, monday.com and Notion get one note per person per task per day after the day has ended; see the sections on monday.com and Notion below.

What do I need?

You need the Owner or Co-owner role and a working connection to ClickUp, Asana, Trello, monday.com or Notion. The task must come from that connection: Worktivity writes time only to tasks it imported from the linked list, project, board or database. Tasks you created in Worktivity have no counterpart outside, so their time is not sent.

How do I turn it on?

  1. Open Workspace settings, then Integrations.
  2. Open the connection with Manage.
  3. Turn on Write time back and confirm.

Turning it on affects this one connection. Other connections keep their own setting. To stop, turn the switch off again. Turning it off is always possible, even if the connection has a problem.

What exactly is written?

Worktivity writes one entry for each uninterrupted stretch of work by one person on one task. A stretch counts as finished when there has been no activity on that task for about ten minutes, so entries appear shortly after you stop, not at the end of the day. A gap of up to five minutes inside a stretch does not split it, and those gap minutes are not counted as time. A very long stretch is written in parts of four hours.

Where the entry goes depends on the tool:

  • ClickUp: a time entry on the task, shown as time tracked, with the real start time and duration and the description "Tracked in Worktivity".
  • Asana: a time entry on the task, with the duration and the date, in the time zone of your workspace in Worktivity.
  • Trello: Trello has no time tracking, so Worktivity adds a comment to the card, one per person, task and day: "Name tracked 1h 20m in Worktivity on 14 Oct". The comment is added after the day has ended, so it appears the next day.
  • monday.com: monday.com does not let other apps fill its time tracking column, so Worktivity adds an update to the item, one per person, item and day: "Name tracked 1h 20m in Worktivity on 14 Oct". The update is added after the day has ended, so it appears the next day.
  • Notion: Notion has no time entries, so Worktivity adds a comment to the page, one per person, page and day, in the same form. The comment is added after the day has ended, so it appears the next day.

The time written is the same time Worktivity shows as tracked on that task. Manual time entries appear once they are approved, because an approved entry counts as tracked time. Entries that are pending or rejected are not sent.

Whose name does the time appear under?

  • ClickUp: Appears under the person who tracked it. Worktivity enters the time on behalf of the matched ClickUp user. This needs the connecting account to be allowed to track time for others, which depends on your ClickUp plan and role. If ClickUp refuses, the time is not written, and it is never entered under the wrong person.
  • Asana: Appears under the account that connected Worktivity. Asana only lets the connected account create time entries. Every person's time appears under that account.
  • Trello: Appears under the account that connected Worktivity. Trello comments are always posted by the connected account. The person's name is in the comment text.
  • monday.com: Appears under the account that connected Worktivity. monday.com updates are always posted by the connected account. The person's name is in the update text.
  • Notion: Added through the Worktivity connection. The person's name is in the comment text.

If you want Asana, Trello or monday.com entries to appear under a dedicated account, connect Worktivity with that account.

What is not written?

  • Time before you turned it on. Writing starts from the moment you turn the switch on. Turning it off and on again restarts from that moment, so time tracked while it was off is not written. Time that was still waiting to be sent when you turned it off is not sent after you turn it back on either.
  • People who are not mapped. Time is written only for people matched to a user in the tool. People who are not mapped are skipped. Open the connection and map them under People, and their time from the last few days is then sent, usually within about an hour.
  • Corrections made later. Writing only adds. If you edit, delete or reject time in Worktivity after it was sent, the entry in the tool stays as it is, and you fix it there by hand.
  • Late time older than about three days. Time that reaches Worktivity late, for example a manual entry approved for a day last week, is sent only if it is recent enough. Older time stays in Worktivity and is not written.
  • Tasks that no longer exist. If the task was deleted or archived in the tool, the entry is rejected and not retried.

How long does it take?

For ClickUp and Asana an entry usually appears about fifteen minutes after you stop working on the task. Trello comments, monday.com updates and Notion comments appear the day after. Worktivity checks every five minutes and writes in batches, so a very busy workspace may take a little longer. Time that reaches Worktivity late, for example when a laptop was offline for a while, can take up to about an hour longer.

What if something goes wrong?

Each time entry is sent once. If the tool does not answer in time, or answers with a server error, Worktivity cannot tell whether the entry arrived. It then does not send it again, because a missing entry is easier to fix than a duplicate. The connection card shows how many entries were written, skipped, failed or could not be confirmed, the last problem and, when writing is paused, until when. If the tool says the account is not allowed to write time, writing pauses for a while and the connection itself stays active. Fix the permission in the tool, or reconnect with an account that has it.

Writing problems do not affect reading tasks. Your tasks keep syncing as before.

What does Write time back do on monday.com?

monday.com does not let other apps fill its time tracking column, so on monday.com Write time back adds one update per person per item per day, after the day is over. In the worst case it appears about 2 hours and 15 minutes after the day ends, and time that arrives after the day has been written is not added. The update reads "Name tracked 1h 20m in Worktivity on 14 Oct", and it is written by the account that made the connection.

What does Write time back do on Notion?

Notion has no time entries, so on Notion Write time back adds a comment on the matching page: one comment per person per page per day, after the day is over. The comment reads like "Name tracked 1h 20m in Worktivity on 14 Oct", with the name of the person who worked and never their email address. It is added through the Worktivity connection, and the name of the person who worked is in the comment text. If the page is no longer shared with the connection, or Notion does not allow the connection to comment, the comment is not written. Worktivity only adds comments and never changes or deletes anything else in Notion.
