What is Worktivity?

Worktivity is an employee monitoring and time tracking platform that helps teams understand where their working hours actually go.

It records clock-in and clock-out times, app and website usage, activity levels and optional screenshots. It turns this information into timesheets and productivity reports, giving managers the data they need to see bottlenecks and plan capacity without asking anyone to fill in timesheets from memory.

What are Worktivity's main features?

Is employee monitoring software legal?

In most countries, yes, provided you follow the rules that apply where your employees work.

The key conditions are transparency and proportionality. Tell your team what is recorded before monitoring starts and collect only what you genuinely need. Many countries also require a legal basis or explicit consent. Worktivity supports this with visible tracking mode, configurable screenshot settings and blurring options. Your organization remains responsible for how monitoring is used legally. Consult a local lawyer if you are unsure.

How does activity monitoring work in Worktivity?

Worktivity's desktop agent records computer activity while an employee is clocked in.

It records the application or website in the foreground and measures keyboard and mouse activity to calculate idle time. It can capture a screenshot of the active window at the intervals you choose. The employee can also see the recorded information, and monitoring stops when the work session ends.

How does productivity tracking work in Worktivity?

Applications and websites used by your team are classified as productive, unproductive or neutral. Worktivity scores the workday based on those classifications.

You classify an application or website once, and that choice applies to the team. The result is a daily timeline by person, a productivity percentage and rules that highlight people working less than expected, sitting idle or spending time in unproductive tools.

Is Worktivity easy to use?

Yes. Most teams are up and running with Worktivity the same day.

Setup takes three steps: create the organization, invite your team by email and have everyone install the desktop agent. After that, clocking in takes one click, timesheets fill themselves and the reports you need are ready. No other configuration is required to see your first day's data.

What support options does Worktivity offer?

Every message is answered by a real person, usually on the same business day. Support is included in every plan, including the free trial. We can help with setup, moving from another tool and any question that comes up while you use Worktivity.

Subscription and billing

Which payment methods does Worktivity accept?

We accept major credit and debit cards, including Visa, Mastercard and American Express.

Payments are processed by Paddle, which acts as the merchant of record and handles card data, billing and local taxes on our behalf. Your card details never reach Worktivity's servers.

Does Worktivity offer a free trial?

Yes. Every new organization starts with a 14 day free trial and full access to the product.

You do not need a credit card to start the trial, and you are not charged automatically when it ends. If you decide not to continue, the account simply stops tracking.

How often will my Worktivity subscription be billed?

You are billed according to the cycle you choose when subscribing. We offer monthly and annual billing, and annual billing costs less per user.

You can switch between monthly and annual billing at any time from your account's subscription page.

Can I change or cancel my Worktivity plan at any time?

Yes. Plan changes and cancellations are self-service, with no phone call or notice period required.

From the subscription page in your account, you can upgrade, downgrade, change the number of seats or cancel. Cancellation takes effect at the end of the period you have already paid for, and access continues until then.

What happens if my Worktivity invoice is not paid on time?

We retry the payment for a few days and email you each time it fails.

If payment still cannot be collected, the account is suspended. Tracking stops and the app becomes read-only, but nothing is deleted. Once payment succeeds, everything resumes where it left off.

What is Worktivity's refund policy?

You can request a refund within 15 days of the payment date by writing to support@useworktivity.com.

Refund requests are assessed based on how much the service was used. No refund is issued if the service was used significantly or the 15 day period has passed. All conditions are set out in our Refund Policy agreement.

Is there a fee for processing a refund?

We do not charge a fee to process a refund.

The refund covers the service fee you paid. Commissions, taxes and other charges collected during the original transaction are excluded. Fees charged by your bank or card provider are outside our control.

How long does a Worktivity refund take?

Approved refunds are returned to the original payment method within 10 business days.

How quickly the refund appears in your account depends on your bank.

Do you refund the unused part of a cancelled Worktivity subscription?

No. We do not issue prorated refunds for the remainder of a billing period.

When you cancel, your subscription remains active until the end of the period you have already paid for, and you retain full access during that time.

Does Worktivity have hidden fees?

No. The price on the pricing page is what you pay per user for the cycle you choose.

Setup, support and product updates are included. The only optional extra is AI credits for Productivity Coach reports, which you purchase separately only when you want them.

How does Worktivity protect my payment information?

We never see or store your card details.

Payments run through Paddle, a PCI DSS compliant provider that handles card data end to end. Worktivity receives only the subscription status and invoice record.

Technical and security

Where is Worktivity hosted?

Worktivity is hosted on dedicated cloud infrastructure in Europe.

The servers do not accept connections from the open internet. Administrative access is restricted to a private network over VPN and granted only to people who need it to operate the service.

Is my Worktivity data secure?

Yes. Data security is a core part of Worktivity.

Data is encrypted in transit and at rest. One organization cannot read another organization's records, and accounts are separated at the data layer. Screenshots and time-lapse videos are stored with restricted access and are available only to people with permission in your organization.

Are Worktivity connections encrypted?

Yes. Every connection to Worktivity uses HTTPS with a valid TLS certificate.

This covers the website, web app, desktop agents and API. Traffic between your browser or app and Worktivity's servers cannot be read or modified in transit.

How does Worktivity protect accounts from automated attacks?

Sign-in and sign-up are protected by Cloudflare Turnstile.

Turnstile detects bot behavior using browser signals and lightweight checks instead of asking your team to solve puzzles. It is invisible in almost every case, so real users do not need to take an extra action.

How does Worktivity protect employee privacy?

Worktivity provides settings you control, so the level of detail matches what your organization actually needs.

Which devices and operating systems does Worktivity support?

The Worktivity desktop app runs on Windows, macOS and Linux. You can also track time spent in your browser with the Google Chrome extension.

Using Worktivity

What is idle time in Worktivity?

Idle time is a period when you are clocked in but the computer registers no keyboard or mouse activity.

After the duration set by your administrator, Worktivity marks the session as idle. Meetings, phone calls and breaks are not counted as active work. The time is still recorded, but labeled differently, so you can see exactly which parts of your day were marked idle.

What is the difference between productive, neutral and unproductive time?

These are labels your organization gives to applications and websites. Worktivity scores time based on those labels.

The desktop agent reports which programs are used. An owner or co-owner can mark each program as productive, unproductive or neutral. An app may be productive for one team and neutral for another. Anything not yet classified stays neutral and has no positive or negative effect on the score.

How do I turn on screenshot blurring in Worktivity?

Open Organization settings, go to Track settings and turn on screenshot blurring. You need owner or co-owner permission to change this setting.

Blurred screenshots still show the general outline of what is on screen, enough to distinguish a document from a video call, but the content itself cannot be read.

Where can I see screenshots captured by Worktivity?

Screenshots are available on the Screenshots page, where you can filter them by person, team and date.

Whether employees can see their own screenshots is configurable. Owners and co-owners manage this in Track settings, and it can also be set for individual people from the employee list.
