How do I block, remove or move an employee?
Blocking frees a seat and can be undone. Deleting also erases that person's screenshots, videos and activity history. Team and role are one form.
- Web
Everything about a person happens on one screen. Open the workspace name at the top of the sidebar and choose Employees. Two tabs sit there: Employees and Teams.
Finding the person
- The search box matches name, email address and employee code.
- A Show blocked switch appears next to it, but only when the organization actually has a blocked person.
- Each row carries a menu on the right with every action below.
Blocking
- Open the row menu and choose Block employee.
- Read the notice and confirm.
The person loses access to this workspace at once. Everything they recorded stays where it is, and the seat they were using frees up for someone else. Two things are refused: you cannot block yourself, and the owner cannot be blocked by anyone.
Unblocking is the same menu item in reverse, and it takes a seat back. If every seat is taken the request is rejected, so free one first or move to a larger plan.
Deleting
Deleting asks for your own password, and it does more than remove a row:
- Every activity record for that person is deleted.
- Their screenshots and timelapse videos are deleted.
- Reports covering past months no longer include them.
The owner cannot be deleted from this screen.
Blocking keeps the history and can be undone. Deleting is neither of those things. When in doubt, block.
Changing the team or the role
- Choose Edit employee from the row menu.
- Pick another Team or another Role, then save.
The team takes effect on the person's next request. The role is written into the token they received when they signed in, so a new role applies from their next sign-in. Asking them to sign out and back in removes the wait.
First name, last name and email are locked once the person has signed up. From that point those fields live in their own account and only they can change them, from their profile. While an invitation is still pending you can edit them here.
Invitations that are still open
A pending row shows a Copy invitation link button with the expiry date, and an expired one offers to renew it. Renewing extends the link; Worktivity does not send the email again yet, so copy the link and pass it on yourself. Inviting team members covers the first send.
