How do I get a report into Excel?

Most report screens have an Export as xlsx button that downloads exactly what is on screen, filters and date range included. It is plan dependent.

2 minutes read

Report screens carry an Export as xlsx button, usually next to the date range at the top right. It downloads an Excel file you can open in Excel, Numbers or Google Sheets.

What ends up in the file

Exactly what is on the screen when you press the button. The date range, the people or teams you filtered to, the sort order and any search term all carry into the file.

That is worth knowing in both directions. If the screen is filtered to one team, the file holds one team. If you want everything, clear the filters first and then export.

Where the button is

Timesheets export the approved and pending entries for the range you are looking at. The activity reports under Insights export their own table, so the apps summary gives you app totals and the work times report gives you daily hours.

Leave has two exports: the requests list, and the entitlement table with balances per person. Payroll exports the calculated amounts along with the hours and rates behind them.

If the button says it is not part of your plan

Data export is a paid capability and not every plan includes it. When yours does not, the button is visible but disabled and tells you so on hover. The Plans page lists which plans include it, and switching takes effect immediately.

Screenshots are not part of an export

Exports carry numbers, not images. Screenshots and recordings stay in Worktivity and are viewed on their own screens, where access is limited to the people your visibility settings allow.

If you need programmatic access rather than a file, the API gives you the same data as JSON. That is a better fit for a recurring report that feeds another system.
