How do I see who was late or absent?
The Attendance report shows day by day who was on time, late, left early or absent, and which notifications warn managers.
- Web
The Attendance report under Tracking > Shifts shows, day by day, who arrived on time, who was late, who left early and who did not show up. It is built from the shifts you assigned and the time each person actually worked. It is included in the Growth and Pro plans and in the free trial, and it needs Shift scheduling turned on in Workspace settings.
Attendance is recorded only for employees who have a shift assigned for that day, or a single-day exception. If nobody has a shift yet, the report is empty. Assign shifts first, see How do I plan shifts for my team?
Who sees what
- Owners and co-owners see the whole workspace.
- Managers see their own team.
- Employees see only their own days. They get the Attendance tab under Tracking > Shifts, without a team or employee filter.
How do I filter the report?
Pick a date range. By default it shows the last 7 days, and it can cover at most 62 days. Owners, co-owners and managers can narrow it by team or employee. Large reports are split into pages. The cards at the top count the whole filtered report, not just the page you are on. The Total late time card adds up the late minutes of days with the status Late and Late and left early.
What do the statuses mean?
- On time: arrived and left within the tolerances of the shift template.
- Late: arrived after the late arrival tolerance.
- Left early: left before the early leave tolerance.
- Late and left early: both. This day counts in the Late card and in the Left early card.
- Absent: a shift was planned but the person did not clock in or work that day, and the day is closed.
- On leave: approved leave covers the day.
- Day off: the plan was changed to a day off after a record already existed.
- Open: the day is not closed yet. A day closes 2 hours after the shift ends.
What does each row show?
Each row shows the planned hours in the organization's time zone, the first clock-in, the last clock-out, and the late, early leave and overtime minutes. The minutes are exact, so a delay inside the tolerance still shows its minutes while the status stays On time. No clock-out marks a day with a clock-in but no clock-out, and the Missing clock-out card counts those days. Overtime is counted from the overtime threshold of the shift template.
How are night shifts counted?
A night shift belongs to the work day it starts in. A shift from 22:00 to 06:00 appears on the day it started. The work day follows the work day start time in your Workspace settings, see How do I set working days and expected hours?
What does the timesheet show?
When attendance exists for the period, the day cards in the timesheet also show the planned hours and the attendance status. Without attendance data the timesheet looks as it did before.
Which notifications warn managers?
Owners, co-owners and team managers get push notifications about shift attendance and a daily summary e-mail. Owners and co-owners hear about the whole workspace, a team manager about their own team, and nobody gets a manager alert about their own shift. All of them are on by default.
An alert covers one of five cases: arrived late, has not clocked in yet, absent, no clock-out after the shift, and overtime. When several people have the same case, they arrive as one notification that lists up to three names and the number of others.
When are they sent?
- Arrived late is sent once, when the first clock-in falls outside the late arrival tolerance. Worktivity checks every 15 minutes, so it arrives within a few minutes, not instantly. For one person it includes the minutes.
- Has not clocked in yet is sent once, when 30 minutes have passed since the shift start plus the late arrival tolerance and there is still no clock-in while the shift is running.
- Absent, no clock-out and overtime are sent when the day is final, which is 2 hours after the shift ends. If a has not clocked in yet alert already went out for that person and day, the absence is not announced a second time. It appears in the daily summary.
- Nothing is sent between 22:00 and 07:00 in the organization's time zone. What falls in that window goes out from 07:00 on, as long as the shift ended no more than 36 hours earlier.
- A first clock-in inside the late arrival tolerance sends nothing. Days off and approved leave do not count as absences. Turning the module on does not send notifications for days before it was on.
What does the daily summary e-mail contain?
The e-mail lists who was late, with the minutes, who was absent and who did not clock out that day. Overtime is not listed. It is sent 15 minutes after the last shift of the day is final, or from 07:00 if that moment falls between 22:00 and 07:00. If nothing went wrong that day, no e-mail is sent. Each recipient sees only the people they are responsible for.
How do I turn them off?
Open Account settings > Notifications and look at the Shifts group. Shift attendance alerts is the Push switch, and Daily shift attendance summary is the Email switch. These rows appear only for owners, co-owners and managers, and only when the module is on and the workspace has shift assignments or single-day exceptions coming up. Employees see Your shift schedule changes and Clock-out reminders, described in How do I plan shifts for my team?
Why did a notification not arrive?
- The matching row in Account settings > Notifications is switched off, or push is not allowed on the device or browser you use.
- It fell between 22:00 and 07:00 and goes out from 07:00 on.
- The first clock-in was inside the late arrival tolerance, or the person was on a day off or on approved leave.
- The shift ended more than 36 hours ago.
- A has not clocked in yet alert already covered the absence.
- The person is you, or belongs to another team than the one you manage.
- The daily summary is only sent on days when someone was late, absent or did not clock out.
Can the assistant answer attendance questions?
Yes, for owners, co-owners and managers. The assistant in Worktivity's chat screen, and Claude or ChatGPT linked to Worktivity, can use the read-only Attendance report tool (attendance_report). It returns how many days were on time, late, left early, absent, on leave or still open, how many times someone forgot to clock out, the total late, early leave and overtime minutes, and one row per person and day. You can ask for a single status, for example only the late ones.
Owners and co-owners get the whole workspace. Managers get their own team; a manager who is not assigned to a team is asked to have an owner assign one, and asking about another team is refused. Employees do not get this tool, and the assistant answers them only about their own schedule. The tool covers at most 31 days and looks at the last 7 days unless you name dates. It cannot correct a record or send a reminder. It works in Growth, Pro and the free trial, once Shift scheduling is turned on. Setup is explained in the AI connections article.
