How do I schedule productivity coach reports?

A rule orders coach reports on a schedule and emails them, and it tells you what a run will cost before anything is charged.

Coach reports can be ordered one by one, or a rule can order them for you on a schedule and email them out. Rules live in Organization settings, under the AI features tab.

Creating a rule

  1. Choose who it covers: the whole organization, one team, or one person.
  2. Choose the report type and the period it should read, the same choices you get when ordering by hand.
  3. Choose how often: weekly on a day you pick, or monthly on a day of the month.
  4. Type the email addresses that should receive it. Your own address is not assumed; put in whichever addresses should get the reports.
  5. Save it. A rule can be switched off later without deleting it.

You see the cost before anything is charged

Preview works out how many reports that rule would open today, how many credits that would take, what your balance is and where the monthly limit stands. It writes nothing and charges nothing. A rule covering thirty people every week is a very different number from one covering a single person every month, and you should see which one you have made before it runs unattended.

Running it now

Run now is not a rehearsal. It opens the orders for real, deducts the credits, and the reports are emailed as they finish, exactly as they would be on the scheduled day. Use it to check a new rule end to end rather than waiting a week to find out the recipients were wrong.

If there are not enough credits

Nothing is ordered. A run is all or nothing: half a team's reports would be worse than none, because you would not know which half was missing. The run is skipped and an email goes to the rule's recipients saying why, so a silent gap does not turn into a month of missing reports. The same applies when a run would take you past the monthly credit limit.

What arrives

Each finished report is emailed to the addresses on the rule, with the report attached as a PDF and a link to open it in Worktivity. The PDF is the same document as the one behind the download button on the report screen. Ordering a report by hand covers what the report types cost.
