What do the work note reports show?
How much of the tracked working time went to each label people pick in the desktop app, and how much of it was never labelled at all.
- Web
A work note is a short label your organization defines and employees pick in the desktop app. It is how time away from the keyboard, an in-office meeting for example, stays counted as working instead of idle.
Before it appears
The menu entry is only drawn when your organization has at least one work note defined. Notes are set under Workspace settings, Tracking, in the rules section: up to twenty notes of twenty characters each, and the desktop app has to be version 2.3.1 or newer. Open the screen directly with none defined and it says so instead of showing an empty table.
Open it
- Sign in at app.useworktivity.com.
- Go to Insights, then Work notes.
- Set the range, then narrow by team, employee, project or task.
- Open a row to see who recorded time against that note.
Reading the report
- One row per note, with the working minutes recorded against it over the range.
- The share column is measured against all working time in the range, labelled or not. Measuring it against labelled time alone would hide the untagged part.
- The summary card carries both sides: how much time was labelled and how much was not.
- Only working minutes count. Break and idle minutes are left out.
Who worked on a note
Opening a row shows one line per employee: their minutes on that note, their total working time in the range, and what share of their time the note took. The breakdown is requested when you open the row and follows the filters above it. The open row is kept in the address bar, so the link opens on the same note.
Two things this screen does not do
- There is no xlsx export here. The export endpoints cover work times, productivity, apps summary and task insights.
- It does not show what someone typed into a note. Notes are picked from your list, not written freely.
If a lot of time comes back unlabelled, the note list is usually too short or too specific to match what people actually do. The work times report shows the same range without the labels.
